Waterlase Express Data Download Failed: What the 104 Warning Means and What to Do Next

You are between patients, the Waterlase Express is on, and the screen shows a warning that the data download failed. Nothing is cutting differently yet, but you cannot tell whether this is a passing Wi-Fi hiccup or the first sign of a bigger problem. That uncertainty is what slows down a busy practice.

BIOLASE's documentation for the Waterlase Express lists this exact message as the 104 Data Download Failed Warning. It means the system was unable to download data and Learning Center updates. The documentation's guidance is to check the network connection and seek service if the issue persists.

This guide follows that same order. You will start with the warning on your screen, work through the network checks that are safe for your team to run, and learn how to recognize when the problem is no longer about Wi-Fi. If you would rather skip ahead, you can request a free diagnostic evaluation at any point.

What "Data Download Failed" Actually Tells You

The warning is narrower than it sounds. It says the laser tried to pull data or Learning Center content and could not complete the transfer. It does not, by itself, say the laser's cutting performance is affected.

Two things can break a transfer: the connection between the laser and your network, or the laser's own ability to receive and store what arrives. Your first job is to work out which one you are dealing with.

This page covers failed data and content downloads. A failed software update is a different problem with different causes, so read our companion guide on Waterlase Express software update failures if that is what you are seeing. Keeping the two separate saves you from chasing the wrong fix.

If the warning keeps returning after your network checks, the system may need a hands-on look. Our team handles Biolase WaterLase and Epic repair, and our full range of dental laser repair services includes diagnostics, calibration and performance testing.

Network Checks to Run First

Most one-off failures trace back to the connection, so start there. These checks are conservative, take only a few minutes, and do not require opening the unit.

Confirm the Wi-Fi network is up. Check that another device in the same operatory can reach the internet right now.
Check signal strength where the laser sits. Consoles are often parked in a corner or behind cabinetry, and weak signal can interrupt a transfer partway through.
Verify the network name and password. If your office router was replaced, reset or given a new password, the laser may be trying to join a network that no longer accepts it.
Look for guest-network or sign-in pages. Some office networks require a browser login that a laser cannot complete.
Ask whoever manages your IT. Firewalls and content filters can block device traffic that looks routine to you.
Try again at a quieter time. If the network is busy with imaging uploads or practice-management syncing, a retry after hours can help.

Make a note of what you changed and when. If a technician later reviews the unit, that short log saves time.

When the Download Fails Again and Again

One failure is an event. A repeated failure is a pattern, and the pattern tells you something.

If the warning returns after your network is confirmed healthy, stop retrying. Repeated attempts will not fix a laser-side fault, and they cost you time between appointments. This is the point BIOLASE's own guidance addresses when it says to seek service if the issue persists.

Watch for these signs that the cause may sit inside the system rather than your network:

The laser fails to download on more than one network, such as your office Wi-Fi and a phone hotspot.
The warning appears at the same point each time, with no change in behavior after a restart.
Other devices connect fine while the laser alone does not.
The failure began after a power event, a move, or a long period of inactivity.

Do not guess at internal settings. Get the unit evaluated by professional dental laser repair technicians who can separate a connectivity problem from a hardware or system problem.

Tablet and System Symptoms Worth Reporting

A download warning sometimes travels with other signs. These do not prove a fault on their own, but they help a technician narrow things down quickly. Report any of the following:

The touchscreen or display is slow, freezes, or responds inconsistently.
Menus load partway or content does not appear where you expect it.
The system restarts unexpectedly or takes noticeably longer to start up.
Other warnings appear alongside the data download message.
Date, time or saved settings reset themselves.

Describe what you see as precisely as you can, and photograph the screen if the warning clears. A clear description often shortens diagnosis. It also helps you decide whether the laser can stay in service for the day or should come out of rotation.

When Professional Diagnosis Makes Sense

Bring in a specialist when any of these apply:

The 104 warning persists after you have verified the network.
The download fails on every network you try.
Tablet or system symptoms appear along with the warning.
You cannot rule out a power, storage or software cause yourself.
Your schedule cannot absorb more trial and error.

Repair.Dental offers a free diagnostic evaluation with transparent pricing before any repair begins. Costs depend on what is found, so you decide with full information. Depending on your unit, equipment may ship in to the Dentals National Repair Center, or larger equipment can be repaired onsite in your practice. Repair or Replace: Keep the Perspective

A data download failure is rarely a reason to replace a laser. Most causes of this warning are fixable, and a repair costs far less than a new system plus the downtime of installing it.

Turnaround matters too. Manufacturer repair often takes three to four weeks and may charge for evaluation, while our typical turnaround is 3-7 business days, with priority handling available for urgent repairs. For a practice that depends on its laser, that gap is real chair time.

Repair.Dental also services other laser brands, including AMD laser repair, Zolar laser repair, Solea laser repair, SIROLaser repair and Elexxion laser repair.

Waterlase Express Data Download Failed: FAQs

Here are quick answers to the questions we hear most. For more, see our repair FAQs.

What does the 104 warning mean?
According to BIOLASE's documentation, it means the system was unable to download data and Learning Center updates.

Is this the same as a software update failure?
No. This page is about data and content downloads. Software update problems have their own causes and are covered in our separate guide.

Can I keep using the laser while the warning shows?
That depends on what else the system is doing. If you see other warnings or unusual behavior, stop and get it checked rather than risk a procedure. When unsure, ask a technician.

Will this repair cost a lot?
Costs depend on the cause, which is why diagnostics are free and pricing is shared before work begins. See our page on Biolase laser repair for what we handle on these systems.

How long will it take?
3-7 business days is typical, and priority handling is available for urgent repairs. We do not guarantee same-day repair.
